Job Summary
The Logistics and Operations Officer is responsible for coordinating and overseeing the daily logistics and freight forwarding operations of the company. The role ensures efficient shipment processing, customs clearance coordination, cargo tracking, and timely delivery of goods for clients importing or exporting through the company. The officer works closely with international partners, transport providers, and customs authorities to ensure smooth and compliant logistics operations.
Key Responsibilities
1. Shipment Coordination
Coordinate international and local shipments including air, sea, and land freight.
Prepare and process shipping documents such as invoices, packing lists, bills of lading, and delivery orders.
Ensure proper scheduling and tracking of shipments from origin to final destination.
2. Customs Clearance & Compliance
Work closely with customs clearing agents to facilitate timely clearance of cargo.
Ensure compliance with Rwanda customs regulations and international shipping requirements.
Verify shipping documentation accuracy to avoid delays or penalties.
3. Cargo Tracking and Client Updates
Monitor the movement of shipments and maintain accurate tracking records.
Provide regular updates to clients regarding shipment status, arrival times, and delivery schedules.
Respond to client inquiries and resolve logistics-related issues promptly.
4. Warehouse & Delivery Coordination
Coordinate with warehouses and transporters to ensure proper handling and delivery of cargo.
Ensure cargo is received, stored, and dispatched safely and efficiently.
Identifying and addressing the problems on field during offloading the containers.
5. Operations Management
Maintain logistics records and operational reports for management review.
Ensure operational efficiency and identify opportunities to improve logistics processes.
Support cost control by monitoring transport and shipping expenses.
6. Vendor & Partner Coordination
Maintain strong relationships with suppliers, clearing agents, and logistics partners.
Negotiate and coordinate freight arrangements when necessary.
Qualifications and Requirements
- Bachelor’s degree in Logistics, Supply Chain Management, Business Administration, or a
related field. - Must have a minimum of 2–3 years of experience in international logistics, freight forwarding, or shipping operations in Rwanda.
- Good knowledge of international shipping procedures and customs clearance processes.
- Strong organizational and problem-solving skills.
- Excellent communication and customer service skills.
- Proficiency in English and Kinyarwanda and Knowledge of Microsoft Office and logistics management systems.
