Terms of Reference (ToRs) for Hiring a Firm for Photography, Videography & Documentary Production
1.Background
The Forum for African Women Educationalists (FAWE) is a Pan African women’s organization whose mission is to support girls’ and women acquire education for development. FAWE was founded in 1992 and its headquarters are in Nairobi, Kenya. FAWE Rwanda is one of the 34 chapters across Africa.
FAWE Rwanda was founded in 1997 by a group of Rwandese women whose common goal is to build the country and promote national development through girls’ and women’s education. Since its inception, FAWE Rwanda has grown to become a reputable partner and focal point on female education in Rwanda.
FAWE Rwanda is seeking to hire a competent firm to produce high-quality photos, videos, and documentary films that capture the organization's work, beneficiaries, events, and impact.
2. Objectives of the assignment
To engage a competent firm to produce high-quality photos, videos, and documentary films that capture the organization's work, events, and impact.
3. Scope of work
The service provider shall be responsible for:
Photography:
- Capture high-resolution images of events and field activities.
- Deliver edited and raw photos.
Videography:
- Record videos of events and interviews.
- Produce and deliver edited and raw videos
- Provide social media clips.
Documentary Production:
- Develop storylines and scripts.
- Conduct interviews and field shoots.
- Edit and produce documentaries with subtitles, graphics, and branding.
- Deliver raw videos
Deliverables:
- Photos (RAW + edited).
- Videos edited and raw
- Subtitled versions.
- Short clips for social media (Youtube, X , facebook and LinkedIn).
- Full raw footage archive.
4. Expected Deliverables
- Edited photos per event.
- Full raw photo
- Edited videos
- Full raw and videos
- Social media clips
- Documentaries
- Draft and final versions.
- Subtitled and non-subtitled versions.
- Final delivery via cloud/external drive.
5. Required Qualifications of the Firm
The service provider should demonstrate:
- 3–5 years of experience.
- Strong portfolio of NGO or other institutions-related work.
- Professional photography/videography equipment.
- Skilled team (photographers, videographers, editors).
- References from previous clients.
- Knowledge of ethical storytelling and safeguarding.
6. Submission Requirements
Interested security firms should submit:
- Official letter to the Executive Director applying for this tender
- Company profile and experience.
- Company Registration Certificate from RDB.
- At least 3 Certificates of good completion with proven references for having executed similar work from Non- Government Organizations or Government Institutions
- CVs of at least 3 proposed staff with the relevant experience and qualification
- Valid Tax Clearance from Rwanda Revenue Authority.
- Financial proposal in Rwandan Francs tax inclusive.
- A Portfolio or links to past work
- List of equipment and their photos
7. Proposal submission
Interested Firms meeting the above criteria are requested to submit their proposals both in 2 separate sealed inner envelopes (one containing the technical offer and the other one the financial offer in Rwandan Francs).
