Terms of Reference (ToRs) for hiring a firm for Event Management

1.Background

 The Forum for African Women Educationalists (FAWE) is a Pan African women’s organization founded in 1992, headquartered in Nairobi Kenya, Its mission is to promote access to quality education of girls’ and women as means of fostering sustainable development. 

FAWE Rwanda was established in 1997, is one of the 34 chapters across Africa. Since its inception, FAWE Rwanda has become a recognized partner and focal point in advancing girls’ and women’s education in Rwanda. 

FAWE Rwanda intends to establish a pool of service providers for event management who may be invited to submit quotations on a need basis. 

2.Scope of Services 

The selected consultants may be required to:

  • Facilitate workshops, trainings, conferences, forums, and meetings;
  • Moderate panel discussions and plenary sessions;
  • Support development and refinement of event agendas and session flow;
  • Apply participatory, learner-centered, and inclusive facilitation methodologies;
  • Ensure effective time management during events;
  • Promote gender-responsive and inclusive participation, including youth and persons with disabilities;
  • Support documentation of key discussions and outcomes, where required.

Specific assignments shall be issued through task orders or assignment notes specifying the scope, duration, deliverables, and facilitation fees.

3. Eligibility and Mandatory Required

Interested and eligible applicant must submit the following documents for administrative and technical evaluation;

  1. Official letter addressed to the Executive Director of FAWE Rwanda expressing interest in this lot
  2. Valid Company Registration Certificate issued by RDB 
  3. Valid Tax Clearance Certificate offered by Rwanda Revenue Authority (RRA)
  4. At least 3 certificates of successful completion of similar services 
  5. CV that demonstrates a Minimum of five (5) years of proven experience in event facilitation, moderation, or training;
  6. Ability to facilitate in English; Kinyarwanda and French is an added advantage
  7. Experience in gender, youth, education, or social development is an added advantage;
  8. Strong facilitation, communication, and interpersonal skills;

4. Proposal submission

Interested Firms meeting the above criteria are invited to submit their expression of interest in hard copy tothe following physical address’

submission must be received t not later than 19th January 2026 at 3:00pm Rwandan time

5. Important Notes and Disclaimer

  • Submission of an expression of Interest does not constitute a commitment by FAWE Rwanda to award any contract
  • Late submission will not be considered
