Position Title: Sales & Administration Coordinator (Shipping Industry)

Compensation: RWF 1,022,975 per month
About the Role
We are seeking a proactive and motivated Sales & Administration Coordinator to support our
commercial team in Rwanda. This role is ideal for someone looking to build a foundation in shipping,
logistics, and commercial operations, with hands-on exposure to inside sales, customer
engagement, and administrative support.
As part of the sales team, you will begin with internal-facing tasks and gradually progress to field sales
activities, accompanying Sales Executives for customer visits, market mapping, and business
development activities.
Key Responsibilities
1. Inside Sales Support
- Assist in handling customer inquiries via phone, email, and walk-ins.
- Share rate quotations, service information, schedules, and shipment updates with customers.
- Follow up on leads, quotations, and pending opportunities using the CRM system.
- Support the preparation of commercial proposals and tenders.
- Conduct basic sales analysis and provide weekly reports to the sales manager.
2. Administrative & Coordination Support
- Maintain and update customer records, contracts, and documentation in CRM and internal
systems. - Support the sales team by preparing meeting notes, visit reports, and presentation materials.
- Assist in scheduling customer visits, internal meetings, and team activities.
- Coordinate with operations, documentation, and customer service teams to ensure smooth execution of shipments.
- Handle general office administrative tasks as required.
3. Field Sales Exposure (Gradual Integration)
- Accompany Sales Executives for client visits, onboarding discussions, and market intelligence activities.
- Participate in customer service reviews, route development conversations, and retention meetings.
- Observe and begin leading supervised customer interactions as competence grows.
4. Market Research & Commercial Intelligence
- Gather insights on competitors, freight trends, customer segments, and emerging opportunities.
- Contribute to internal market reports and commercial strategy discussions.
Qualifications & Requirements
Education
- Pursuing or recently completed a degree/diploma in Logistics, Supply Chain, Business Administration, Marketing, or related fields.
Skills
- Strong communication and interpersonal skills.
- Excellent organizational and analytical abilities.
- Proficiency in MS Office (Excel, PowerPoint, Word).
- Ability to multitask and manage time efficiently.
- Strong attention to detail and accuracy.
