Position: Human Resources Intern
Job Location: BRAC International Rwanda/ Country Office, Kigali
About the Role:
Under the guidance of the HR & Admin Coordinator, the HR Intern will support the HR department in maintaining accurate and organized personnel records, ensuring compliance with filing and documentation standards. This role will primarily focus on filing support, document management and assisting in administrative HR tasks. The intern will work closely with the HR team to streamline record-keeping processes and enhance data accessibility.
Key Responsibilities:
- Support in filing, organizing, updating and maintaining employee personnel files.
- Support the HR team in verifying document completeness and following up on missing records.
- Assist in maintaining confidentiality and data protection compliance in handling HR files.
- Perform any other duties assigned by the HR team to enhance departmental efficiency.
- File employees’ life cycle documentation right from recruitment including CVs, employee certificates, employees’ bio-data, performance management forms, exit interview, etc.
- Document and file entire recruitment processes is in line with HR Policy and ensure it is clearly documented.
- Develop vacancy announcements for all recruitments and advertise them on job in Rwanda platform.
- Provide support in interviews (arrange for and confirm interviews).
- Perform any other duties assigned by the HR team to enhance departmental efficiency.
Safeguarding responsibilities:
- Ensure the safety of team members from any harm, abuse, neglect, harassment and exploitation to achieve the programme’s goals on safeguarding implementation.
- Act as a key source of support, guidance and expertise on safeguarding for establishing a safe working environment.
- Practice, promote and endorse the issues of safeguarding policy among team members and ensure the implementation of safeguarding standards in every course of action.
- Follow the safeguarding reporting procedure in case any reportable incident takes place, encourage others to do so.

- Proper filing
- Updated staff files and HR documentation
Academic Qualifications:
- Business Administration, Human Resources Management or any other related fields.
Required Skills, Competencies & Knowledge:
- The successful candidate will combine exceptional people skills, self- motivation, capacity to multi task and work under pressure.
- Strong organizational skills with attention to detail in document handling.
- Basic knowledge of HR practices and record-keeping procedures is an advantage.
- Ability to handle confidential information with professionalism and discretion.
- Excellent communication skills and the ability to work effectively in a team.
- Willingness to learn and adapt to HR administrative processes.
- Proficiency in Microsoft Office programs, i.e., Excel, Word, PowerPoint, etc.
- Fluency in written and spoken English and Kinyarwanda
Experience Requirements:
- At least 1 year’s relevant experience in HR within a busy organization.
