Job Title: Graduate Trainee – Finance

Department: Finance & Accounting 
Reports To: Finance Manager  
Location: Kigali

The Graduate Trainee – Finance will support the Finance and Administration team in daily financial operations, payments processing, record management, and office administration. The role provides hands-on exposure to accounting systems, reporting processes, and administrative coordination essential for the smooth running of the finance office.

Key Responsibilities

Finance & Accounting

  • Prepare and review payment vouchers and supporting documentation for supplier and service provider payments.
  • Upload and process payments on online banking platforms, ensuring accuracy and completeness.
  • Assist with daily posting of transactions into the accounting system and maintenance of ledgers.
  • Conduct bank reconciliations and monitor cash and bank balances.
  • Assist in the preparation of monthly management reports and expense schedules.
  • Support compliance by ensuring statutory deductions (PAYE, VAT, RSSB, Withholding Tax) are accurately computed and filed on time.
  • Participate in internal and external audit preparations by organizing supporting documentation.

Administrative Support

  • Maintain well-organized filing systems for financial and administrative records (both physical and electronic).
  • Support logistics for departmental meetings, staff travel requests, and supplier engagements.
  • Assist in procurement support activities such as obtaining quotations, preparing LPOs, and tracking deliveries.
  • Coordinate collection, dispatch, and filing of payment and contract documents.
  • Help monitor office supplies and ensure timely replenishment of finance-related stationery and consumables.
  • Maintain updated contact lists for vendors, service providers, and key partners.
  • Handle routine correspondence and ensure timely communication within the Finance Department.
  • Provide general administrative assistance to the Finance and Management teams as required.

Front Office Management

  • Manage the reception area, ensuring a professional and welcoming environment for visitors.
  • Receive and direct incoming calls, correspondence, and inquiries to the appropriate staff.
  • Maintain visitor logs and ensure adherence to office access procedures.
  • Support coordination of courier services, mail dispatch, and deliveries.
  • Ensure the front office area is well-organized and reflects the company’s professional image.
  • Assist in scheduling appointments, meetings, and conference room bookings as required.

Qualifications

  • Bachelor’s degree in Accounting, Finances, or a related field.
  • CPA or ACCA qualification (completed or in progress) is an added advantage.
  • Good working knowledge of MS Excel and accounting software (e.g., QuickBooks, Sage, or ERP systems).
