REQUEST FOR EXPRESSION OF INTEREST-SUPPLY OF FRESH FOOD ITEMS

1. Background

Pharo Foundation Rwanda invites qualified and interested suppliers to submit an Expression of Interest (EOI) for the supply of fresh food item for Pharo school located at Kimihurura. The purpose of this EOI is to identify capable suppliers who may be shortlisted for future procurement processes, including Requests for Quotation (RFQ) or Tenders.
2. Scope of Supply
the scope of this EOI includes, but is not limited to, the supply of the following fresh food categories:
- Fresh fruits
- Fresh vegetables
- Fresh meat (beef, goat, chicken, etc.)
- Fresh fish
- Eggs
- Fresh milk and dairy products
- Other perishable fresh food items as may be required
Suppliers must be able to deliver fresh, hygienic, and high-quality products on a regular and timely basis.
3.Minimum Requirements
Interested suppliers should meet the following minimum requirements:
- RDB Certificate
- Valid tax clearing Certificate (TCC)
- Relevant trading license for food products
- Demonstrated experience in supplying fresh food items with 4 similar organisations
- Ability to meet food safety and hygiene standards
- Reliable delivery and storage capacity
4. Submission Requirements
Interested suppliers are requested to submit the following documents

- Company profile with contact details
- List of fresh food items supplied
- Evidence of previous or current similar contracts (4 Recommendations)
- Any food safety or quality certifications
- Application letter addressed to the Procurement Committee
- CIT (Corporate Income Tax) Declaration 2024
- All documents should be combined in one PDF Document and be submitted to the
indicated email address
5. Submission Instructions
EOI documents should be submitted by email clearly marked: “Expression of Interest – Supply of Fresh Food Items” on or before 26th January 2026 at 2pm through Email: rwandaprocurement@pharofoundation.org
Please note that the late submissions will not be considered.
