King Faisal Hospital Rwanda Foundation (KFHRF)

The King Faisal Hospital Rwanda Foundation is currently at its beginning stage following an action plan that was approved by the hospital in October, 2020.

Within the health domain, the Foundation’s major objectives will be to support researchers through funding, training and facilitation in dissemination of research data, establishing strategic relationships with academic, research-driven and research sponsoring institutions and supporting training for medical researchers.

As part of a social welfare that constitutes an integral part of the foundation, the hospital will financially assist patients who cannot afford medical care and will continue to sensitize the public on NCDs, congenital and surgical diseases for prevention and early consultation.

Furthermore, the foundation will support surgical camps/outreach within the country in a bid to reduce long waiting lists in teaching hospitals. Finally, within the education domain, the foundation will be promoting new learning tools including e-learning and support Continuing Medical Education (CME).

Job Description: Administrative Assistants – School of Medicine & PGME

Location: Africa Health Sciences University (AHSU)
Reports To: Dean, School of Medicine / Chair, PGME (depending on assignment)
Contract Type: Full-time
Duration: One year renewable based on performance
Positions Available: 2

Position Overview:

Africa Health Sciences University (AHSU) is seeking highly organized and proactive Administrative Assistants to provide professional support to senior academic leadership in the School of Medicine and Postgraduate Medical Education (PGME).

The successful candidates will coordinate academic, administrative, and research-related activities, ensuring efficiency, governance compliance, and continuity of operations. One assistant will support the Dean of the School of Medicine, and the other will support the Chair of PGME/Director of Research.

Key Responsibilities:

Administrative Coordination

  • Manage correspondence, schedules, and appointments for assigned senior leadership.
  • Coordinate academic and governance meetings (councils, boards, committees, assessment panels).
  • Prepare agendas, minutes, action trackers, and follow-up documentation.
  • Maintain organized academic and administrative records.
  • Assist in organizing academic events, workshops, examinations, and official visits.
  • Coordinate communication between departments, faculty, and university leadership.

Academic & Program Support

  • Support documentation for curriculum approvals, accreditation, and regulatory reporting.
  • Track deadlines for submissions, accreditation, and evaluations.
  • Support research-related activities and documentation (where applicable).
  • Assist with faculty development activities, resident coordination, and academic program monitoring.

Reporting & Monitoring

  • Prepare periodic reports for management on academic and administrative activities.
  • Flag operational issues proactively and ensure follow-up on action items.
  • Support implementation of institutional policies and procedures in academic administration.

Minimum Qualifications

  • Bachelor’s degree in Administration, Business, Education, or a related field.
  • Minimum 2–3 years of experience in administrative roles within academic, clinical, or research environments.
  • Strong organizational, multitasking, and coordination skills.
  • Proficiency in Microsoft Office and academic management software.
  • Experience in record-keeping, report preparation, and meeting coordination.
